We have an exciting opportunity for an Executive / Senior Executive in our Marine & port operations Team. She/he will be reporting to the respective Coast manager. This role is primarily responsible for all Marine (including Cruise, Government service & offshore) / Liner husbandry, Vessel Operations and crew Logistics at/for ports under her / his area of control.
The role is responsible for P&L targets pertaining to her / his location. She/he will be responsible for working along with Coast managers, Country management, and the ISS commercial team to generate new business for her / his locations as well as maintain good relationships with current customers.
Scope of Role
• P&L responsibility – Will be responsible for liaising with commercial team, cost managers and country management to win new customers and maintain relationship with existing customers such that the revenue budget targets are achieved.
• Control costs / EBITDA targets – Will be responsible to continuously track overheads and cost of sales to ensure that the Overhead and EBITDA budget targets for the location is achieved.
• Responsible to ensure smooth operation of jobs handled by the location team. Ensure that all KPIs like QQ score, updating information in operational IT platform like OneDA/Optic etc are maintained.
• Responsible to follow process laid down in ISS policies and procedures including compliance checks on vessel / principal, prefunding requirements, operational requirements including maintaining hard and soft copy of vessel related documents and information etc. Will be responsible to ensure smooth conduct of audit for the location and retention/maintenance of documents as required basis.
• Overall responsibility for keeping track of performance of vendors and sub agents operating in her / his location. Carry out vendor management activities in consultation with Strategic sourcing team and as laid down in vendor management manual/policies and procedures.
• Coordination of all vessel’s operation & crew logistics at port. Assist where necessary with Hapag Lloyd liner husbandry functions.
• Prepare per job SDS sheet, weekly revenue sheet and monthly P&L statement for locations managed by her /his team.
• Ensure that her/his team creates appointment in oneDA prior vessel arrival, create service order correctly in OneDA, update information in Optic/Maersk application on timely manner. If applicable, also responsible to chase vendors for invoices, uploads vendor invoices in OneDA in timely manner in order to ensure that the DA TAT does not exceed 19 days.
• Supervision and guidance of junior staff and training them in the Inchcape way. Ensure that her / his team carries out the mandatory trainings in LMS on timely manner. If there is any requirement for vendor training then liaise with LMS/ISS QHSSE team to get training done for vendor staff in timely manner as per the relevant guidelines.
• Ensuring all QMS & QHSSE standards are being followed in the execution of all operational activities. Responsible to track and close OPEN CARs in SALESFORCE. Attend QHSSE Coordination Committee meetings and contribute significantly.
• Develop and maintain a good relationship with Senior Port / Customs / Immigration Officials.s and Responsibilities:
Co-ordination, Supervision and Monitoring:
Supervision and monitoring all Operation and Documentation activities on day to day basis and to ensure all processes are carried out in a timely and professional manner based on the Company’s objectives, overseeing all documentations and assignments and to ensure appropriate documentations / clearances are done.
• Formulate local guidelines to implement right shipping practices & procedures for the team and align local SOP with ISS policies and procedures.
• Ensure compliance to customs regulation & tariff for import / export and marine/cruise statutory tariff.
• Oversee submission of shipping documents to port & customs, payment of Light dues.
• Ensure location team’s adherence to principal’s procedure.
• Follow-up for invoices from Port and local vendors so as to avoid delays in closing appointment.
• Check Invoices received / log and update OneDA system and upload
• Monitor activities and make changes where necessary which will add value.
• Evaluate information /results and choose the best solution to solve problems.
• Monitor sub agent’s and vendor’s performance
Marine Operations:
• Discuss important matters that come up in berthing meetings with Port staff.
• Oversee declaration of all vessels and advance planning for berthing and requested service.
• Oversee communications with all concerned parties, including Terminal/ Shippers and Receivers.
• Oversee communications with Master/ Principals on Pre- arrival requirements
• Vessel inward outward clearance oversight.
• Oversee crew logistics arrangements and take corrective actions where necessary.
• Oversee vessel requirements, delivery of spares, repairs, supply, medical assistance, survey
• Supervising vessel operations and providing additional support to the team as needed.
• Oversee and ensure that Vessel /owners updated on local procedures prior arrival.
• Coordinating with the principles for DA Queries and with GDC/Billing team when required.
• Keeping self-abreast of all local and central procedures and developments.
• Ensuring prefund against PDA prior vessel arrival for SPOT calls and from HUB customers/principals as and when required.
• Emails to be responded within 30 minutes of receipt. Each location must provide Market intelligence report, Vessel line up, for Clipper data, LNG, Fertilizer Sugar, Cruise updates in India and any report being requested by Commercial /Intelligence team. Target 100% adherence.
• Location must be 100% QHSSE compliant and ready at any given time. All CAR’s (audit / customer escalations, including old open CAR and OFI’s) needs to be closed within 10 days of CAR being raised. Maintain performance dash boards for your coast locations.
• All appointments (including CLS & HUB) opened in OneDA & Optic must be updated by team with ATA and Vessel E-Mail within 24hrs of berthing. Subsequently ATS to be updated. This is to be enforced strictly and oversight maintained by you.
• ATA /ATS & Vessel Email Address to be updated in OneDA application within 24hrs of berthing.
• Oversight on obtaining Income Tax Clearances/ filing returns for Marine.
• Complete Freight tax documentation jobs know how until Final tax payment.
• All advance fund request for port charges or vendors should indicate the estimated revenue to be generated. This role is to ensure these are done properly and reflect the correct line items.
• Oversight that all appointments to be closed to CE with 48 hours of ATS, and DA to be closed within 20 days of ATS. Follow-up for outstanding for locations.
• Oversee that Trade notices / Circulars & Tariff changes from Port, Customs, DG Shipping, Immigration must be stored on the location common drive and on Location Q-share point. Escalate any matters of concern to the Country Manager.
Who you are:
5+ years of experience in Port operations, Marine and Ship Ops.
Effective team player experienced in facilitating collaboration and change.
Proven ability to manage vessel full calls in port applied effectively and the ability to achieve seamless operational success
