Job description, work day and responsibilities
RESPONSIBILITIES
Administration
• Co-ordinate the invoicing process including the tracking and raising of invoice request and confirming the receipt of funds.
• Supporting internal and external meeting arrangements when required.
• Maintain stock and oversee office assets like laptops, equipment, and their repair.
• Create an efficient system to retrieve office documentation and filing.
• Updating and maintaining of company, vendor and employee information in the database and Personnel File Maintenance and always ensuring confidentiality
• Organize engagement activities including office parties from time to time.
• Coordinating schedules and managing calendars for multiple parties to ensure that activities are properly arranged with no conflicts.
• Maintain and revise the handbook on office policies and procedures.
• Manage and oversee overall office administration.
• Travel management, Accommodation management for employees, guest and preparing documents, presentation materials, and facilities for meetings.
• Coordination with necessary building infra, electrical team in case of breakdowns.
• Vendor Management- Coordinate with different vendors as and when required.
• Handling basic office tasks, such as filing, delivering mail, answering emails and phone calls, and data entry.
• Assist in administration duties when required and other ad hoc duties as assigned.
HR Department
• End to end recruitment drive handling.
• Support in achieving a good conversion ratio of submittals into interview and placement.
• Coordinating and scheduling interview of the candidate.
• Update and maintain the leave records, biometric database.
• Maintaining MIS on daily / weekly and monthly basis and reporting the HR Manager on weekly /monthly basis.
• Maintain and update the employee database and responsible to prepare reports on various HR Metrics under guidance of HR manager.
• Arrange & coordinate staff training enrolment and update of training records
• Organize and plan an induction program for new hires.
• Coordinating with employees on Various HR Activities in the Organization.
• Responsible to prepare & share various HR communications with employees.
• Able to adapt to the various functions within the HR department
• Ability to build and maintain positive relationships with colleagues.
• Manage the HR backend activities under guidance of HR manager
REQUIREMENTS
• At least 3 years of relevant working experience in the related field
• Good understanding of human resources functions
• Meticulous, organised and enjoy handling transactional activities
• Able to exercise mature discretion on confidential issues
• Possess excellent Verbal and Communication Skills with good interpersonal skills
• Computer literate with strong proficiency in Microsoft Office applications.
• Positive attitude, fast and independent with strong organizational skills.
• Self-motivated and able to work under pressure.
• Ability to multi-task and work independently in a fast-paced environment
• Experience using computers for a variety of tasks.
• Competency in Microsoft applications including Word, Excel, and Outlook.

EXPERIENCE
3 to 5 years
EDUCATION:
Bachelor’s degree/University degree or equivalent experience, certification will be added advantage
